Sustainable Gaps

Built by Sustainable Gaps

Put the work back inside Microsoft 365 you already own.

SG installs a clear operating structure in Teams, SharePoint, Planner, Forms, and Power Automate so status, files, and responsibilities stop living in chat and personal inboxes. Azure supports the backend when the work requires it, while Microsoft Entra controls access.

The problem

Licenses are paid. Structure is not.

Many organizations already fund Microsoft 365 and Azure, then still run work through scattered chats, inboxes, file links, and side tools. Leaders cannot quickly see the current record, next responsibility, or evidence of completion.

Before recommending another subscription, SG tests whether the tools already on the bill can carry the work once responsibilities, records, status, and request routing are organized.

Teams

Front door for people and conversation. General stays a lobby, not a dump.

SharePoint

File room for current records, templates, and deliverables.

Planner

Owner, due date, and status for the next action.

Forms + List + Power Automate

Capture a work request and route it where ownership is clear.

What SG builds

An operating template, not another place to log in.

The template is implemented in the client's Microsoft environment. SG configures the front door, task motion, file room, and request routing, then hands the system to the people who own the work.

  1. 01

    Entry

A branded Teams home page so a first-time user knows where to begin in under thirty seconds.

  2. 02

    Motion

Planner buckets for new requests, today, this week, waiting, and done.

  3. 03

    File room

Functional SharePoint folders with owners—not repeated company-name sprawl.

  4. 04

    Routing

A submitted form writes a list row, posts a channel card, and opens a Planner task.

Product demo

What a working demo shows.

SG maintains a demo-safe Showcase workspace for walkthroughs. It mirrors the operating pattern without exposing internal pipeline data or client records.

  • Open the operating front door inside Teams.
  • See one job assigned to Teams, SharePoint, Planner, and request routing.
  • Submit a sample request and watch it become a list row, channel card, and task.
  • Confirm current files and status without hunting through chat history.

One job per tool

Teams is the front counter. SharePoint is the file room. Planner carries ownership. Forms, Lists, and Power Automate route new work into the right channel instead of leaving it in personal email.

Optional layers—Teams Phone, Power BI, Loop, Whiteboard, and Azure-backed services—attach only when they strengthen the same operating model.

What remains with the client

Client-owned systems. Clear handoff.

Sustainable Gaps does not ask the organization to hand its operating record to an SG-owned software platform when Microsoft 365 and Azure can carry the work. The template is built to be owned, repeated, and improved after each engagement.

  • The Microsoft 365 tenant, Azure resources, and permissions stay under client control.
  • Microsoft Entra identity and multifactor authentication protect access.
  • Records, tasks, and deliverables remain in client-approved Microsoft storage.
  • The workspace can be duplicated for the next project without rebuilding the method.
  • SG hands off the operating model; optional stewardship does not replace ownership.

Security and information control

The client's Microsoft environment sets the boundary.

SG builds inside the client's existing approved Azure and Microsoft 365 environment. The client never surrenders ownership or control of its work product: it stays inside that boundary, under the client's complete oversight, and is not transferred into an SG-owned SaaS platform.

Identity
Microsoft Entra identity and multifactor authentication are the access baseline.
Permissions
Roles and access are configured around the client's responsibilities and approval rules.
Information
Client work product stays inside the client's approved environment. Retention, logging, backup, and deletion follow its policies and licensed Microsoft capabilities.
Handoff
The client receives the configuration, records, documentation, and operating responsibilities. SG retains no ownership claim over the work product.

Initial consultation

Describe one place work still lives outside Microsoft 365.

There is no cost for the initial consultation. SG will ask practical questions and explain whether an owned-workspace implementation is the right next step.
